🇦🇺 Australia

Scope of work

  1. Top 50 accounts on your registry

  2. Up to 2 layers of unmasking

  3. Turn-around time of 7-14 business days

Initial report

  1. A signed Letter of Authorisation is provided before the first business day of the coming month.

  2. We pull the top 50 holders from your share register.

  3. First pass (Layer 1) ~7 business days

    1. Institutional nominees - Formal disclosure letters go out under the Corporations Act.

    2. Private Australian companies - Ownership data is sourced from ASIC records.

  4. Second pass (Layer 2) ~7 business days

    1. Once Layer 1 data returns, we refresh the registry data and gather data for the newly unmasked nominees.

    2. We also re-request data from the nominees in the 1st layer to ensure that reporting periods are consistent.

  5. Data ingestion

    1. Disclosure data is securely imported and automatically cleaned and parsed into our database.

    2. Clients are notified via email when the report is ready to view.

Subsequent reports

  1. Pull the top 50 holders

  2. Request data for both Layer 1 & 2 ~7 business days

    1. With every underlying entity now known, we request both layers at once, slashing turnaround time.

  3. Data ingestion

Unmasking process

  1. Preparation

    1. A signed Letter of Authorisation is provided before the agreed-upon reporting period.

    2. Align with your Client Success Manager to select nominees of interest.

  2. Unmasking requests sent

    1. We issue formal disclosure letters under Section 793 of the Companies Act 2006 to those selected nominees.

  3. Data ingestion

    1. Disclosure data is securely imported and automatically cleaned and parsed into our database.

    2. Clients are notified via email when the report is ready to view.

📥 CRM integration


How is the data integrated with your hub?

Once the data is imported, our system goes to work on integrating it into your hub by using the following steps:

  1. Historical linking. Our system will first try to see if an unmasked shareholding account already exists. If one does, it will append the data to the account as another holding history record.

  2. New account creation. If we find no matches, our system will create a new unmasked shareholding account for it.

  3. Link to contact. For any new account, we will try to find a matching contact to link, if none exists we will automatically create one for it.

🔎 How do we match accounts?

To ensure a high degree of confidence we use an exact match on the account's name and address. In the UK we also include their depot/designation code.

Managing your unmasked holders

Unmasked shareholding accounts should look and behave exactly like a normal registry account. This means you are able to:

View their holding history

Explore their holding history and transactions within their Portfolio tab.

Enrich their Contact details

Add notes into their Activity log and edit their personal information.

Search for and organise them.

Filter for your unmasked holders and organise them by creating a Segment for them or Tagging them.

📓 The report


The report is broken down into 4 tabs: Full Report, Top Holders, Location, and Trading Activity.

While the Full Report tab is always accessible, the other four tabs are only available once all nominees across all layers are unmasked, and the report is fully complete.

The report is a living document as you enrich your CRM and discover new links between the unmasked accounts and contacts, it will update accordingly.

This tab provides full transparency of the unmasking process and allows you to explore your ownership structure in great detail.

Granular ownership structure

Explore your underlying ownership structure in great detail. Every shareholder account we uncovered, displayed in its ownership tree so you can follow the chain from a global custodian down to the retail holder.

Shares and ownership

See the shares of the account, the proportion to your total shares outstanding, and how they've moved over time.

Links back to your CRM

See which Contact each account is linked to. Clicking on either the name of the account or the contact will take you to their relevant Contact pages.

🎩 Top Holders

This view cuts through nominee fragmentation. Instead of three separate rows for Mrs Smith held at different brokers, you see one clear figure, making it easy to recognise and prioritise your largest investors.

Holdings grouped by Contacts

We roll up every beneficial owner accounts that links to the same Contact and present one aggregated total shareholding to see the full ownership across multiple accounts.

Expand a row to reveal all the accounts in the Full Report that this contact is a beneficial owner of.

💡What counts as a “beneficial owner account”?


In short, it is any account with no unmasked accounts underneath it, which includes:
• A direct retail holder on the registry.
• An individual or fund unmasked from a nominee.
• A nominee we could not unmask this time or who is outside the agreed scope.

These accounts are the basis of the Top Holders, Location, and Trading Activity tabs.

📍 Location

Planning a roadshow or geographically targeted event? The Location tab shows you where your investors are and helps you focus resources where your investors are clustered.

Quickly toggle the map to view distribution by the number of Investors or number of shares and compare where your investors are versus where ownership is concentrated.

Discover the true extent of trading underneath the nominees on your registry.

Contact-level movements

Like the Top Holders tab, we identify all the beneficial owner accounts linked to a contact and aggregate their movements to give you a more holistic sense of their trading activity.

Filter by movement type

Clicking on the cards with the summary numbers will filter the table accordingly. You can also filter the table by movement type by clicking on the filter button.

💡 The Trading activity tab will be empty for your first report as we require at least 2 reports to calculate buying and selling. The more reports that are run, the more accurate trading data you get.

⬇️ Downloading your report


Need a offline copy of your report? You can conveniently download a given month's report by clicking the "Download" button in the top right of the report page.

You'll be able to download your report in two fully formatted file types:

  1. PDF - A formatted report that's perfect to print out or email to your coworkers.

  2. Microsoft Excel - For when you want to dive deeper in to the data.

💡 The downloadable report is accurate as of the first time it is generated by a team member on your hub. Generating the report may take up to 5 minutes, and will automatically begin downloading when ready. If the download fails to start, try clicking the button again, or check that pop-ups are not disabled for this page.

📤 Importing an external report


If you have third‑party unmasking reports, we can load them so everything lives in one place. However, these will not be integrated into your hub's CRM as we cannot guarantee matching between external and InvestorHub reports.

External reports will:

  • Show up in the Full Report tab.

  • Not be integrated into your CRM (no accounts or contacts created or linked).

  • As a result, the Top Holders, Location, or Trading Activity tabs will not be available as they rely on the CRM's integration.

💬 FAQs


I've noticed some instances where the total holdings of the underlying owners does not match their respective nominee, why is that?

There are some instances where the information of the underlying holdings provided by the nominees and brokers do not align with what is recorded on the registry, or by other brokers. As we receive information from third-party providers, we cannot completely guarantee the accuracy of this information.
