This guide covers how to use Newsflow to manage interactive announcements, create updates, send emails, assign categories, and improve engagement.

Overview

Newsflow is your central workspace for managing announcements, updates, emails, and distribution across your investor audience. It helps you prepare content ahead of time, publish ASX announcements with context, run email campaigns, and monitor engagement.

This guide covers how to use Newsflow to manage interactive announcements, create updates, send emails, assign categories, and improve engagement.

1. Announcements

Interactive announcements help you engage investors directly on every ASX release. They allow you to add context, share videos, ask questions, and moderate discussion.

Interactive announcements are the best way to engage with investors and your shareholder community. They provide a scalable way to receive instant feedback and moderate discussion on every announcement, keeping the company in control.

How to view your announcements

  1. Go to Engage → Newsflow.

  2. You will see all announcements, emails, updates, and social posts.

  3. Each item includes key metrics such as:

    • Impressions

    • Clicks

    • Surveys

    • Likes

    • Questions

Select any metric to open the full analytics view, including:

  • Known investors reached

  • Shareholders who traded

  • Engaged hub members

  • Shareholders who bought or sold

  • Tracking links

How to prepare an announcement in advance

Preparing your announcement helps you add a summary, video, and schedule distribution before the ASX publishes your release.

How to prepare content

  1. Go to Engage → Newsflow.

  2. Select Prepare ASX announcement.

  3. Add a working title to help you identify the announcement.

  4. Decide if you want to:

    • Send an email

    • Post to LinkedIn

    • Post to X (Twitter)

Your prepared announcement will appear at the top of Newsflow under Awaiting ASX until it is released.

Once the ASX publishes your announcement, the system automatically matches your link and publishes your prepared content.

How to add your interactive URL

You will see a unique URL on the preparation page. Add this link to your ASX announcement before submitting to the exchange.

This ensures your summary or video will automatically appear on your hub once the ASX publishes your announcement.

How to add content

You can now:

  • Add a summary

  • Add a video

  • Preview your announcement

  • Send a test email

When you are finished, select Continue → Schedule.

How to Record a Video

  1. Go to Engage → Newsflow → then select the Announcement you want to add a video to

  2. Then click on the Announcement on the left hand side

  3. Click on ‘Edit’

  4. Click on Add or record a video

  5. You then have three options:

    1. Record video

    2. Paste a link to an existing online video

    3. Upload a video

  6. If you decided to record a video, you have the following options:

    1. Using a camera only

    2. Or you can display the Announcement with your face at the bottom left corner

    3. You have the ability to record several times by clicking on ‘Record again’

    4. When you are content with the video recording, you can ‘Save & publish’


2. Sending email campaigns

How to send a one-off campaign

  1. Go to Engage → Newsflow → Email.

  2. Configure sender details.

  3. Choose your audience using segments or tags.

  4. Build your message using text, images, or links.

  5. Preview and send, or schedule for later.

How to send updates or announcements email manually

  1. Select the Announcement in Newsflow that you want to send.

  2. Then Announcement → Email.

  3. Review or adjust the content.

  4. Send immediately or schedule.

How to send or schedule

  1. When sending your Email, LinkedIn or X (Twitter) there are a two options:

    1. You can ‘Send now’

    2. Or you can ‘Schedule for later’

      1. If you ‘Schedule for later’ you can choose the date and timezone

  2. Click on ‘Schedule’ when you have finished


3. Campaign Results

Why this matters

In order to ascertain how your campaign has performed, it is important to review the campaign performance.

  1. Go to the Announcement with the campaign results that you want to view

  2. Click on the Announcement

  3. You can view the Campaign performance, including being able to click on:

    1. Shareholders that ‘bought’

    2. Shareholders that ‘sold’

    3. Shareholders that traded

    4. Engaged hub members

  4. You can view the specific details on:

    1. Announcement

    2. Email

    3. LinkedIn

    4. X (Twitter)

How to view your survey results

  1. Go to the Announcement with the survey results that you want to view

  2. Click on the Announcement

  3. On the next page, Click on the Announcement that has been published on the left hand side

  4. Then click on Analytics and the Survey Responses

  5. You can then see who has responded to the surveys and their responses. At the top of the page you can see a summary


4. Email best practice

Consistency and clarity help improve email performance and build investor trust.

How to maintain list quality

  • Remove invalid emails regularly.

  • Monitor open and click rates.

  • Clean older lists before importing.

How to send consistently

Send emails on a steady schedule, typically once a fortnight. Predictability improves engagement and consistency builds credibility.

Send investor updates on a regular schedule — typically once or twice a fortnight.

When investors hear from you predictably, they begin to trust your communications.

How to create quality content

Focus on:

  • Clear subject lines

  • Clean design

  • Mobile-friendly layouts

  • Clear calls to action

How to check for errors

Double-check:

  • Recipient lists

  • Links

  • Typos

If an address bounces, check it manually or reach out via another channel.


5. Maintaining your email reputation

Your email reputation affects whether your messages land in inboxes.

Before you begin

It is important to understand what harms your reputation

  • Invalid email addresses

  • Spam complaints

  • Low open rates

How to clean your imported lists

Before importing contacts:

  • Remove hard bounces

  • Exclude long-inactive subscribers

  • Reconfirm consent for older lists

Strong list hygiene helps keep your emails deliverable.


6. Adding content to announcements

Why this matters

Adding summaries, videos, or questions helps investors understand key information and increases engagement.

Your interactive announcements not only let your investors comment on your content, but it also allows you to provide more context by including an optional summary or video of your announcement.

  • Summaries highlight the most important points.

  • Videos provide extra context or commentary.

  • Questions encourage discussion and allow you to open the conversation.

How to add content

  1. Go to Engage → Newsflow.

  2. Select the announcement.

  3. On the left-hand side, select the announcement body.

  4. Select Edit.

  5. Add your summary or video.

  6. Preview your changes.

  7. Select Save and publish when ready.

How to add a video

Upload a file or paste a public URL. Videos must be under 2MB and in MP4, MOV, AVI, or WEBM format.

7. Increasing engagement

Overview

To maximise visibility, share your interactive announcement link across email and social channels.

You can distribute:

  • Automatically using Automations, or

  • Manually from each announcement.

Automatic email set-up

  1. Select the Settings icon.

  2. Select Automations.

  3. Turn on:

    • Welcome new shareholders email

    • Interactive announcements email

  4. Select Apply recommended for suggested ASX categories.

  5. Select Save and continue → Finish set up.

You can choose to manually turn theses on by ticking in the boxes provided.

Note: The Announcements with a $ icon beside them, represent Announcements that are Price Sensitive.

Automatic social media posts

Before enabling, connect LinkedIn and X in your main Hub Settings.

Then:

  1. Go to Newsflow settings → Automations.

  2. Turn on Interactive announcements and turn on for social media

  3. Select Apply recommended for suggested ASX categories.

  4. Select Save and continue → Finish set up.

Manual distribution

For any announcement:

  1. Open the announcement.

  2. Select Email, LinkedIn, or X.

  3. Review the post.

  4. Select Continue → Schedule.


8. Assigning categories

Categories help you organise content and display it on relevant hub pages.

How to assign a category

You can add a category when preparing an announcement, or:

  1. Go to Engage → Newsflow.

  2. Select your announcement or update.

  3. Select Edit.

  4. Choose an existing category or create a new one.

  5. Save your changes.

How to add a category section to your hub

  1. In the Hub Builder, add a new Updates block.

  2. Then select a Category for the block (e.g., Projects page).

How to filter your category

  1. Open the block settings.

  2. Select your category.

  3. Save and publish.


9. Boosting images

Add alt text and captions to help search engines and readers understand your content.

10. Updates

Updates are used for non-regulatory news such as interviews, events, media features, and podcasts.

How to create an update

  1. Go to Engage → Newsflow → Updates.

  2. Select Write an activity update.

  3. Add your title.

  4. Add your summary, video, thumbnail, or attachments.

  5. Select Continue → Schedule.

After your update goes live

You can:

  • Distribute via email or social posts

  • View engagement metrics

  • Respond to comments or questions

Suggested update templates

Examples include:

  • Webinar + Q&A summaries

  • Media features

  • Industry knowledge posts

  • Event invitations

Use these formats to keep your updates clear, consistent, and useful.
