How to set up your email campaigns ⚙️

Outcome: Set up your email templates and audience lists to send bespoke email campaigns to your shareholders, investor hub users or a custom list

📝 All there is to know about your campaign settings

There are three components of your campaign settings section:

  • Emails - This is where you can set up your default email template header and footer for all emails, as well as update your email settings (including reply to and from settings).

  • Audiences - This is where your 'recipients' lists live, including all shareholders on the registry, your Investor Hub signs ups and a custom list you can upload and manage.

  • Social Media - Here you can input links to your social media accounts that will be included on emails you send via the platform.


⚙️ Setting up your email settings

Step 1. 'Send from' email addresses

An important part of sending emails is ensuring you personalise your distribution and maximise deliverability. You can do this by setting up bespoke email addresses to send emails (campaigns) from once you've activated your custom domain.

You can do this in two locations:

  • Campaigns -> Settings; OR

  • Company settings -> Email settings


Marketing emails are used to engage & excite your investor base, and contain promotional content, we suggest 'investors@customdomain.com'

Example below:

Transactional emails are used to send important information, and are usually triggered by an investor’s action (e.g. resetting their password), we suggest 'noreply@customdomain.com'

Step 2. Email Template

The second component to your communication settings is setting up your email header and footer template.

Here you can customise the look and feel of your header and footer on your email template for all emails being sent to investors, saving you time by only doing it once.

For the header and footer templates, you can edit the following:

  • Colours

  • Logo

  • Company information (Address, company name)

👥 Setting up and managing your audiences

Under 'Campaigns' then 'Settings', you'll find 'audiences'. All of your investor email lists are known as 'audiences'. There are three default audiences and 1 additional, optional, list:

  • All shareholders: Those who have provided email addresses to your share registry will be found here. You (the Company) are entitled to email your shareholders on any company updates.

  • Investor Hub: All investors who have signed up to your Investor Hub will be included on this list.

  • Unsubscribers: All investors who have unsubscribed from any email communications. You can manage and manually unsubscribe people from here.

  • Imported list (optional): Here you can manually upload a list of investors to email, these can be existing shareholders you've independently gathered email addresses for, externals (including IR, company employees, clients of the Company) or other. Under each audience, you can export the list, filter (by emails they're subscribed to), search by name / email or manually unsubscribe / resubscribe someone.

*Please note: When you send an email, you can select multiple lists to send this to. InvestorHub will automatically remove any duplicates that appear on multiple lists.


💻 Social Media

Under campaigns - settings - social media, you're able to include the social media accounts of your company, which will automatically pull through and appear on any future emails you send.
