Why should I log my emails into my hub?
Logging your investor emails into your hub helps to keep all your shareholder engagements in one convenient and centralised location. No more digging through your inbox - everything you need is right there, organized and ready to go.
On top of that, you'll never lose track of a conversation again. This keeps your discussions informed and meaningful and ensures that everyone on your IR team is always on the same page. It’s all about smoother, smarter investor communication.
How does it work?
In a nutshell, whenever you send an email to an InvestorHub contact and BCC our email-recording address (activity@log-email.investorhub.com), our system will automatically match your sender and recipient details to the relevant contact in your hub and store the whole email chain as part of their activity log.
Some important details
🔒 For security reasons, emails will only be logged if the sender's email address has a domain (e.g. @freshissuer.com) that matches the domain that is registered with your hub. This way, the email only goes where it belongs.
📤 Because our system relies on the sender to be from a registered address, replies from your contacts will not be recorded. You will have to reply with the activity@log-email.investorhub.com BCC'd for it to be sent to your hub.
👥 Emails to more than one recipient (i.e. more than one email address in the To: field) will not be automatically recorded into your hub.
🫥 Emails to email addresses that do not exist in your Investor search contacts will not be automatically recorded into your hub.
💬 We currently only support the automatic recording of email text. Any hyperlinks, images or videos will be removed when the email is recorded into your hub.
How do I do it?
Recording an email conversation couldn't be easier. Just follow these simple steps
1. Copy our secure monitoring email address: activity@log-email.investorhub.com
2. Paste the email address into the BCC field of your email
For Gmail
1. Click "BCC" (you should be able to find it to the right of the To: field)
2. Paste in the recording address
For Microsoft Outlook
1. Click "BCC" (you should be able to find it to the right of the To: field)
2. Paste in the recording address
3. Find your email chain in your contact's activity log
Tips & tricks
1. Save the activity@log-email.investorhub.com as a contact
This will save you from having to copy and paste the email each time you want to use it.
Also, make sure to give it a name that's easy to remember (e.g. Hub Emails)
2. Set up an automation to automatically BCC the relevant email
In most instances, you should be able to set up an automation in your email client to automatically BCC an address, saving you time.
For Microsoft Outlook

To set up automatic BCC (Blind Carbon Copy) in Microsoft Outlook, there are several methods you can use depending on the version of Outlook you are using and whether you are using the desktop or web version. Here's a comprehensive guide on how to configure automatic BCC in different scenarios:
Outlook Desktop Application
Open Outlook and go to the "Home" tab.
Click on "Rules" then select "Manage Rules & Alerts".
Click on "New Rule".
In the "Rules Wizard", select "Apply rule on messages I send" and click "Next".
You can specify conditions for when you want the BCC to apply or choose "Next" to apply it to all messages.
In the "Action" step, select "Bcc the message to people or public group".
Click on "people or public group" in the bottom pane, enter the email addresses you want to BCC, and click "OK".
Finish setting up the rule by clicking "Next" and "Finish".
Outlook Online Application (Requires admin privileges)
Log in to the Exchange Admin Center (EAC).
Navigate to "Mail Flow" > "Rules".
Click "+ Add" and choose "Create a new rule".
Name your rule and under "Apply this rule if...", select "The sender is..." and specify your email address.
Choose "Add action", select "Bcc the message to..." and specify the recipient's email address.
Save the rule.
This method requires administrative access to the Exchange server and will apply to all emails sent from the specified account, regardless of the device or application used
Using Third-Party Add-ins
The simplest way is to use third-party add-ins like the ones available from Ablebits or other providers that offer auto BCC features. These add-ins often provide more flexibility and additional features.

Unfortunately, Gmail does not offer a direct setting to automatically BCC emails. Otherwise you may want to consider using a third-party browser extension:

Install the Auto BCC for Gmail extension from the Chrome Web Store.
After installation, click on the cloudHQ icon in your browser.
Select "Setup BCC/CC Rules."
Click “Add new Rule” to create a rule.
Specify the conditions under which the BCC/CC should trigger, such as sending from a specific email address or to certain recipients.

This tool allows you to set up automatic CC or BCC in Gmail.
Access the tool via the cloudHQ support page or directly through the Chrome Web Store.
Similar to the Auto BCC for Gmail, you can configure rules directly in your Gmail interface to automatically BCC or CC specified addresse
